The Domus property management system serves approximately 17,000 housing companies, which means that approximately 600,000 Finns receive various messages and invoices through the system.
According to Annastiina Junnila, Domus' Head of Unit, the housing companies hope that the property management will provide good communications. That’s why the Domus team wants to offer advanced systems and ways of communicating with their software.
Electronic messages such as text messages, emails and system messages are distributed by Domus via its own system. With just a few clicks, the property management company can send a message to the Board of Directors of each housing company it manages.
At the end of 2020, the team of Domus, which is part of the Confirma Software group, was looking for a partner to deliver paper mail. The law still strictly regulates the communications of property management and housing companies. For example, the housing companies' notices of General Meetings must be mailed to all shareholders in paper form, unless they have given their separate consent to send the message via email.
"Notices of General Meetings are centrally related to our need to send paper mail. Even though electronic invoices, for example, are already a given for many, we still mail a lot of maintenance charge invoices," says Junnila.
Cooperation saves time for Domus customers
Posti’s iPost service is used to send the Domus property management system's messages. The service automates the sending of announcements, invoices and other messages. Electronically delivered material is delivered to the recipient digitally or in paper form according to their choice.
According to Junnila, the greatest benefit of the service is that it saves Domus customers, such as property managers, a lot of time. Where they used to have to print out the notices of General Meetings themselves, put them in envelopes and mail them, they can now send the message through a system that specifies the receipt method.
"A customer of ours may have 200 housing companies, for example. Previously, it took approximately one and a half hours per housing company to send out notices of meetings. Now this can be done in a few minutes."
Property management customers are able to perform the previously very manual work more efficiently and, above all, more reliably.

The necessary reporting is also generated automatically from the sent messages. Customers can show that the letters have been sent, and there is no need to report manually or in Excel.
