Mailing publications
The best solution for delivering a publication is achieved through cooperation between the publisher, the mailer company and Posti. We offer you tools for planning mailings, providing advance information and automating preparatory work. The toolbox also contains service-specific instructions.
Contract services
The ordering channels for addressed publications are Posti Pro and the electronic mailing list. Advance orders for publication delivery are placed using Posti Pro. Publication deliveries sent using the Publication service are ordered by using the electronic mailing list. If the mailer company uses the Sorting Service, it makes preparatory work easier and provides you with clear and up-to-date mailing instructions.
Items that are part of deliveries ordered in advance must include a service-specific payment indication that is in line with Posti’s instructions.
Advance order publication deliveries
Publication delivery services that are ordered in advance include:
Nationwide publication deliveries: Magazine Pro, Economy Publication and local publication deliveries
Local publication deliveries: Daytime Publication Delivery and the Long-distance Publication Delivery that is ordered at the same time
In nationwide publication delivery, your item is transported from one point to anywhere in Finland. With Posti’s local publication delivery, your publication can be quickly delivered to subscribers within a specific region. The service is intended for newspapers that are published at least once a week.
Advance order publication deliveries require you to give advance information and make a mailing plan for batches to be mailed for every calendar year. In addition, preparatory work must also be carried out for publication batches. Advance information is provided in Posti Pro.
Mailing batches must be sorted and bundled in ascending order by postal code and alphabetical and numerical address up to the apartment ID in order to maximize the number of bundles sorted by complete postal code or delivery office.
You can find more detailed service-specific instructions in the Guide for Batch-Sorted Postal Items (addressing, bundling and unitizing). Control labels printed out from Posti’s systems (Sorting Service or the RCC2 Control Label Application) must be applied to the transport units.
Mailing using the Sorting Service
Using the Sorting Service makes the preparatory work carried out by the mailer company easier and provides the mailer company with clear and up-to-date mailing instructions.
The Sorting Service recognizes the number of the mailing list from Posti Pro and creates the mailing on the mailing list containing the advance order.
The Sorting Service modifies the order information for your mailing batch based on sorting and automatically creates invoice rows for your mailing list. Invoicing is done based on the information on the mailing list.
Nationwide publications: Publications can be posted at the Postal Centers of Helsinki and Kuopio. With the terminal shuttle surcharge, posting is also possible at the posting places of Tampere and Oulu and at designated terminals. To reach the service level, these items must be posted one business day in advance.
Regional publications: Batch bundling and unitizing must be done in accordance with the instructions provided by the Sorting Service. The batches of publications are delivered to the sites specified in the mailing plan made through Posti’s ordering channel by the specified time.
Services that are easy to start using
The nationwide Publication service can be activated easily and is best suited for publications that are published irregularly and have small delivery volumes.
The Publication service does not need to be ordered in advance. Batch sorting, or bundling, is necessary for large mailing batches. Publication batches consisting of fewer than 1,000 copies do not need to be bundled.
You can buy the Publication’s Additional Handling service for batches of at least 1,000 copies, in which case you do not need to bundle the batch. The unbundled publication batch should be dropped off in Posti’s blue boxes, with the publications sorted by postal code. Bundling and unitizing is carried out according to the Guide for Batch-Sorted Postal Items (addressing, bundling and unitizing).
Mailing using a mailing list
Provide the mailing batch information, such as the payer, product number, publication issue, quantity, zone and unit weight using an electronic mailing list. Read the more detailed instructions for mailing lists here.
Invoicing is done based on the information on the mailing list.

Address markings and payment indications for publications

The address markings of publications (= the name and address of the recipient) must be in the same location and position in each publication so that they are clearly visible.
The address marking is printed or typed mechanically on the publication, the address label or the publication’s wrapping. Read the more detailed instructions for markings on publications wrapped in plastic in the Guide to Machine-Sortable Items.
The payment indication must show the selected service and delivery speed. Use of the markings is subject to a valid contract with Posti.
Download the payment indication files using the links below. We also recommend reading the user instructions for payment indications.
The postal company in accordance with the Postal Act will be Posti Jakelu Ltd from January 1, 2023. However, Posti Ltd's payment indications will not expire and they can still be produced with a franking machine. There will be no time limit for using printed envelopes.
