How to send letters

On this page, you will find instructions for sending letters as a contract customer – both in Finland and abroad.

How to start sending 

  1. Write the recipient's name and address on the envelope. Also write the sender’s information on the envelope for possible return of the item.  

  2. Place the corporate letter's payment indication and stamp in the top right-hand corner of the envelope.  

  3. There are also specific places for other indications and identifiers. As Posti uses automated optical reading of the address information on mailed items, the information must be in the correct locations on the envelope. Correct addresses and correct address markings ensure that the item is delivered to the recipient without delays.

Address and envelope markings for corporate letters

Marking the addressee’s address

  1. Row: Other information on the addressee: title, customer code, subscription code or other customer-related information

  2. Row: Addressee's first and last name or company name

  3. Row: Supplement to the addressee’s name e.g. organisational unit, department, office, processed by, occupant of the apartment, c/o

  4. Row: Spare row, can include specify the name of the recipient or internal information of the company

  5. Row: Exact delivery address: street address, P.O. Box address

  6. Row: Postal code and locality in capital letters

  • When you are planning a domestic item — for example, the appearance of an envelope — please take into account Posti’s service-specific requirements for mechanical handling. These requirements are listed in the Guide for Machine-Sortable Items. 

  • When you are sending items abroad, check the country specific address writing instructions

Letter payment indications 

Items indicated on a mailing list must include a payment indication according to Posti’s instructions. Use of the indications is subject to a valid contract with Posti.

Please note: The postal company in accordance with the Postal Act is Posti Distribution Ltd from January 1, 2023. However, Posti Ltd's payment indications will not expire and they can still be produced with a franking machine. There will be no time limit for using printed envelopes. 

Franking machine 

A franking machine makes mailing simpler and facilitates cost tracking. 

This is how to start using a franking machine 

  1. Get a franking machine from a retailer. Franking machines are sold and leased by Azolver Suomi Oy (Pitney Bowes) and Quadient Finland (Neopost Finland) and their authorized retailers. 

  2. After you have bought or leased a machine, the device vendor notifies us. 

  3. Immediately after that, we will send you the order confirmation and service activation notification.
