The Document Digitizing service is used to digitize documents, which are automatically directed to the digitizing service through Posti or the customer company's office. The documents can be, for example, contracts, claims for damages or order forms. The suitability of the material is always assessed on a case-by-case basis. The images generated in the process and the metadata extracted from the documents are sent to the customer on a daily basis through a jointly defined interface. The material can also be delivered to Posti's eArchive – an electronic document storage system from which the material can be retrieved on the basis of metadata extracted during the process of digitizing documents. The whole service can be tailored according to the customer's wishes.
Payment Service Digitizing is aimed at the banking sector. The process produces payment data from incoming proofs of payment. The data can be transferred in a structured format to be made available to the customer for further processing. Payments that have errors or cannot be processed in the digitizing system are transferred to Posti’s eArchive service, where the customer's processors can process the payments. Corrections that require the intervention of the bank's customer can be automatically delivered via Posti’s iPost service as customer letters and will be redirected back to the digitizing process after the corrections. The service is linked to the customer's registers, and validation of correctness is carried out for the approval of payments by machine and by a person based on the instructions provided by the bank. The whole service can be tailored based on the customer's needs.
Scanning Incoming Mail enables the digitizing of mail in an electronic format and the delivery of letter-specific content in image format in a single PDF file to the customer's email address. The material can be the company’s internal mail or other documents. The contents of the incoming envelope are digitized, and it is possible to extract information (metadata) from the contents, which can then be added into the filename. The whole service can be tailored according to the customer's wishes. Particularly during teleworking, the process frees up working time for the handlers for other work, and there is no need to make trips to the office to check up on mail. The mail is conveniently directed forwarded to the team email, for example.
Archive scanning is used to digitize existing paper archives into an electronic format. The material may be submitted for digitizing in its entirety in one or more batches. In digitizing, the material is processed according to customer requirements and delivered to the customer through a mutually agreed interface. Images of the material are generated, and depending on what type of data the customer wants, metadata can be extracted from the material. The material can also be delivered to Posti’s eArchive service for long-term storage. Digitizing an archive saves money, as there is no longer any need for a physical paper archive after the material has been digitized. The material is available electronically, regardless of time and place.
